Privacy Policy

What we collect when you ask us for a quote, why we need it, and what we do with it. Short, because we do not collect much.

Last updated 1 September 2026

The short version

We use it to quote your job.

OpenPane Window & Door Replacement collects personal information from you for one reason: to prepare and deliver a quote, and to carry out the work if you go ahead. We do not sell it, we do not rent it, and we do not pass it to anyone who is not working on your job.

This policy follows Canada's Personal Information Protection and Electronic Documents Act, PIPEDA. If anything here is unclear, email [email protected] and ask.

What we collect

From the quote form

  • Your name
  • Your phone number
  • Your email address
  • Your address or neighbourhood
  • What needs replacing, and any notes you add

The address is optional in the sense that a neighbourhood is enough to tell us whether we cover you. We need the full address before we can attend.

What we collect

When you call or email

Whatever you tell us, plus the number you called from. We use a call tracking service so we can tell which page of this site a call came from. That service records the calling number, the time, and which page referred it.

If a call is ever recorded you will be told at the start of that call, and you can ask us not to.

What we do with it

Quote, schedule, warranty

  • Contact you to arrange a time to measure
  • Prepare and send your written quote
  • Order units built to your measurements
  • Schedule and carry out the installation
  • Honour the workmanship warranty afterwards

Who else sees it

Only people working on your job

Your measurements and order details go to Vinylguard, who manufacture the units. If your install is done by a subcontracted installer rather than our own crew, they get your name, address and the job details. We tell you which at the quote.

That is the whole list. Nobody else receives your information, and none of it is ever sold or used for anyone else's advertising.

The rest

Storage, cookies and your rights.

How long do you keep it?

If you become a customer, for the length of the workmanship warranty, which is twenty years, because we need to know what we installed and where in order to honour it. If you asked for a quote and did not go ahead, we keep the enquiry for two years and then delete it. You can ask us to delete it sooner.

Where is it stored?

Enquiries arrive as email and are held in a Google Workspace account. Google stores data on servers that may be outside Canada, which means it can in principle be subject to the laws of the country it sits in. That is true of most email, and we mention it because PIPEDA expects us to.

Do you use cookies?

This site sets no cookies of its own. We use analytics to see which pages get read and which ones lead to enquiries, and call tracking to see which page a phone call came from. Both set cookies in your browser. Neither is used to build a profile of you or to advertise to you, and you can block them in your browser without breaking anything on this site.

Can I see what you hold, or have it deleted?

Yes, both. Under PIPEDA you can ask what personal information we hold about you, ask us to correct anything wrong with it, and ask us to delete it. Email [email protected] and we will answer within thirty days. There is no charge. If you are not satisfied with how we handle it you can complain to the Office of the Privacy Commissioner of Canada.

Who is responsible for this?

Ryan Cochrane, owner of OpenPane Window & Door Replacement, Ottawa, Ontario. Reach him at [email protected] or 613-897-3179.

If this policy changes.

We will change the date at the top of this page. If a change materially affects what we do with information we already hold, we will email anyone it affects rather than expecting you to notice.
